Looplex Billing Policy
Most corporate software subscriptions are designed to charge per user, regardless of how many team members actively use the service. Implementation projects often involve fixed-scope definitions, which invariably change during setup, leading vendors to introduce unexpected charges.
At Looplex, we believe you should only pay for what you use, and your setup journey should be flexible according to your needs, with its cost already included in your subscription—no surprises.
Policy Overview
- This Billing Policy applies to Looplex plans and services purchased through the Looplex website or directly on the platform.
- For customers who received written commercial proposals for subscription purchases or renewals, these rules will apply subsidiarily where not conflicting with the proposal or adjusted contract.
- When purchasing a paid plan for your intelligent document and case workspace, you will receive usage quotas for various features and services.
- For special setup services, including training, migration, legal engineering, and legal design, you will receive service credits to use as needed within the limits and rules specified here.
- This billing policy complements the provisions outlined in the Looplex Terms of Use and Licensing.
Usage Plans
Our pricing is solely based on your platform usage volume. The primary criteria are the number of generated documents and available plan features. The number of installed machines or simultaneous accesses is irrelevant.
Except for free, trial, or the Fit Plan (exclusive for small law firms), you’ll have an unlimited number of users within your organization (e.g., users with @yourcompany
email addresses). However, your plan will include a limited number of user licenses for:
- Looplex Cases Module (management)
- Looplex BI & Analytics Module (dashboards and insights)
There’s no user limit for external platform interactions (e.g., contract negotiation forms with opposing counsel or supplier due diligence). This is limited by the number of interactions, such as generated and processed forms.
Note: When a guest user accepts your invitation to log in and participate in lifecycle management (e.g., task delegation, saving/retrieving documents), they are considered to be using a Looplex Cases license.
Similarly, there’s no limit on bot users (automation agents performing administrative or legal support tasks). However, automation use limits (e.g., request numbers) may apply.
Unused licenses don’t change the plan’s minimum license quantity or subscription cost.
Add-On Packages
You can purchase additional service packages, such as extra Looplex Cases user licenses, storage space, or service credits.
Additional package charges will appear in the next month’s invoice following the purchase or commercial proposal acceptance.
For user licenses, charges are proportional to the purchase date within the month.
Example: If you purchase additional licenses on March 15, April’s invoice will include 50% of their cost, with full charges starting in May.
Other add-ons (e.g., service credits, case monitoring, storage) are fully billed in the next month’s invoice.
Example: If you buy extra storage on March 15, April’s invoice will reflect 100% of the additional capacity’s cost.
Add-on anniversary dates align with the subscription plan, even for cancellation purposes.
Example: For annual subscriptions, if you purchase extra storage in the 8th month, it renews with the main plan in the 12th month. If canceled in the 10th month, only two months remain, regardless of the recent purchase.
Lawsoft Customer Migration
Existing Lawsoft clients can upgrade to special Looplex subscription plans at significantly reduced prices, with certain limitations:
- Fixed, reduced user counts (e.g., fewer than usual for the equivalent plan).
- Reduced service credits (e.g., 40 instead of 120).
Example: A client with 14 Lawsoft licenses upgrading to the Standard Plan would receive 14 user licenses (not the usual 30) and 40 service credits. Additional users require separate purchase.
This offer is exclusive to Lawsoft clients who are law firms.
How an Upgrade Affects Your Billing
Upgrading your plan grants immediate access to additional features, resets the billing cycle to the upgrade date, and closes current charges.
Previous plan service credits retain their original expiration date.
Example: A Basic Plan client (annual) purchases additional service credits in Month 3 and upgrades to Standard in Month 4. The added user licenses are canceled (since Standard includes more), unused Basic Plan credits remain valid for eight months, and new Standard Plan credits expire in 12 months.
How a Downgrade Affects Your Billing
Downgrading keeps you in your current plan until the billing cycle ends, with the downgrade effective for the next period.
Immediate downgrades incur a 30-day notice period charge and proportional penalties for annual plans.
Example: A Standard Plan (annual) client downgrades in Month 8. They pay for Month 9, a one-month penalty, and start a Basic Plan in Month 10.
Plan Cancellation
Cancellation follows a similar process to downgrades, with a 30-day notice period charge and proportional penalties for annual plans.
Example: A Standard Plan (annual) client cancels in Month 8. They pay for Month 9 (notice) and a one-month penalty. Access ends after the notice period, and data backups are available upon request.
