Thank you for visiting Looplex. This Privacy Policy and our Terms of Use and License govern your access and use of Looplex services and platform, including any information, components, and associated services we provide. Please take the time to read it carefully.
BY ACCESSING OR USING LOOPLEX, YOU AGREE TO THIS PRIVACY POLICY AND OUR TERMS OF USE AND LICENSE. IF YOU DO NOT AGREE WITH THE TERMS OF THIS PRIVACY POLICY, YOU ARE NOT AUTHORIZED TO USE LOOPLEX FOR ANY PURPOSE AND SHOULD DISCONTINUE YOUR USE. THIS PRIVACY POLICY APPLIES TO ALL USERS OF LOOPLEX, INCLUDING, WITHOUT LIMITATION, VISITORS TO OUR SITES, SUPPLIERS, CUSTOMERS, SOFTWARE USERS, AND/OR CONTENT CONTRIBUTORS.
The Privacy Policy uses, where necessary, the same definitions found in the Terms of Use and License.
1. INFORMATION COLLECTED
1.1. Methods of Collecting Information. We collect information and data to develop, operate, protect, enhance, and promote Looplex. The type of information we collect from you depends on how you use Looplex and what information you choose to provide or make available to us. All personal information you provide must be true, complete, and accurate, and you must notify us of any changes to your personal information. We collect your information in two ways: personal information you disclose and information collected automatically.
1.2. Personal Information You Disclose to Us. Information related to account creation or that otherwise identifies you as a Looplex customer is called “User Information.” User Information may include certain “Personally Identifiable Information,” such as your name, email address, gender, postal address, and phone number. It may also include billing information, such as payment method, credit card information, and contact information. If you register with Looplex, we collect personal information you voluntarily provide, such as (a) name and contact information (first and last name, email address, postal address, phone number, and other similar contact data); (b) credentials, including passwords and security information used for authentication and account access; and (c) payment data necessary to process your payment if you make purchases, such as your payment instrument number (i.e., credit card number). Your personal information is used to offer and promote our services, communicate with you, and inform you about new developments at Looplex.
- 1.2.1. Payment Information. All payment data is stored by our payment processor and not on any server or database managed by Looplex.
1.3. Information Collected Automatically. We automatically collect certain information when you visit, use, or navigate Looplex.

1.3.1. Usage and Device Information. The information collected does not reveal your specific identity (such as your name or contact information) but may include usage and device information, such as IP address, software and hardware you use (such as browser types, operating systems, ISPs, platform type, device type, mobile device identifiers such as make and model, mobile carrier), country, language preferences, referring URLs, pages or features of Looplex used and associated dates and timestamps, search terms, links you click, whether you open messages sent to your account, and other statistics related to your use of Looplex.

1.3.2. Technical Information. We may collect technical information such as web storage data, data stored in application data caches, and data provided by web pixels, cookies, and anonymous identifiers. We use this information primarily to maintain the security and operation of Looplex and for internal analysis and reporting purposes. We retain and may use this information and data to examine and analyze Looplex usage trends and user preferences.

1.3.3. Analytical Information. We use tools, including third-party tools, to collect analytical data. Some of this information is collected using cookies and other tracking technologies, such as web beacons, session replay scripts, and similar technologies (“Tracking Technologies”). We may also work with third-party partners to employ tracking technologies. By using Looplex, we may save one or more cookies in your browser. We use session and persistent cookies to collect, store, and track information and data to improve your experience with Looplex. A session cookie is one that disappears after you close your browser. A persistent cookie remains after you close your browser and can typically be removed. If you prefer not to accept cookies or otherwise wish to disable our use of tracking technologies, please refer to the appropriate “Help” section in your browser on how to modify your cookie settings. Note that doing so may negatively impact your experience with Looplex, as some features may not work properly.

1.3.4. Third-Party Sites and Third-Party Templates. Note that when you click on links to third-party sites or activate third-party Document Templates and Business Intelligence (“BI”) Templates, cookies or pixels may be transmitted to your computer’s browser. Looplex has no control over cookies or pixels or other data transmitted by third parties. Looplex is not responsible for any cookie, pixel, or data storage on your computer accessed through a third-party site, service, or Template.
1.4. Personal Information Requiring Consent. Apart from what is expressly mentioned in this Privacy Policy, we do not intentionally collect any personal information or data that requires the explicit consent of the holders to be processed. The platform’s purpose is to process data and provide services used for creating, generating, editing, and managing documents, BI insights, and artificial intelligence for content related to (a) the execution and performance of contracts or preliminary procedures related to a contract to which the holder is a party; (b) the regular exercise of rights in judicial, administrative, or arbitral proceedings; (c) credit protection; (d) academic work and studies; (e) public service provision (when the Licensee is a public administration body); and (f) compliance and analysis of legal or regulatory obligations by our clients.
1.5. Personal Information Not Requiring Consent. We may also collect and process data that has been made manifestly public by the holder, for example, data and information from legal proceedings that are not under judicial secrecy, as well as other information that is not considered personal as defined by the General Data Protection Law and applicable regulations.
1.6. Aggregated and Anonymized Information. We automatically collect information and data without personal identity to improve Looplex. We may collect information by aggregating and anonymizing other information. The aggregation and anonymization process prevents the information from being associated with or identified with any customer, user, or individual account. We may use aggregated and anonymous information for a wide variety of statistical and analytical purposes.
1.7. Information from Other Sources. We may also collect information from other sources, such as information collected via API, robot process automation services, and external databases accessed by Document Templates or BI Templates, which we use to attribute information in documents built in the System, in jurimetrics or BI views, and to suggest strategies and actions.
2. HOW WE USE THE INFORMATION WE COLLECT
2.1. Purposes of Collection. We use the information we collect for various business purposes, and how we use it depends on what we collect and how you use Looplex. These purposes may include:

Communicating, allowing access, and providing the Looplex platform to you;

Responding to your requests or questions;

Providing customer support or technical assistance;

Creating or managing your account;

Charging you for the use of Looplex;

Obtaining market insights, ways to improve Looplex, and other business or research purposes;

Personalizing offers of existing and future products and services, as well as other aspects of the user experience with Looplex;

Recommending features, functionalities, strategies, and products and services that may interest you, identifying your preferences, and personalizing your experience with Looplex services;

Protecting Looplex and our systems and protecting your information and data;

Fraud prevention and security processes for identification and authentication in systems registration;

Sharing with third parties for the purposes discussed in clause 3.4; and

Any legitimate business purpose, provided that the information is aggregated and anonymous.
2.2. Other Purposes. We may also request your consent later to process your personal information for a specific purpose not indicated in this Privacy Policy, in which case we will expressly ask you for it. When you agree to the processing of your personal information for a specific purpose, you can revoke your consent at any time, and we will stop processing your data for that specific purpose.
2.3. Looplex as Data Controller. Looplex is only the controller of User Information. The information entered into the System by the user in the context of document construction or service use is under your control, with Looplex acting only as an operator. In certain cases, the author of Distributed Templates may act as the data controller of the data provided to them by the user if this author processes personal data for purposes other than delivering the Document, BI View, or service for which they were contracted by the user, in which case they must legally inform this data processing and request your consent. Looplex may be the author of Distributed Templates, but if this happens, we will identify our authorship so that you know what we are doing.
3. PERSONALLY IDENTIFIABLE INFORMATION
3.1. Limited use of personal information and revocation of consent. We may use Personal Identification Information for the purposes described in clause 2.1, but only to the extent necessary for the purposes for which you provided the information to us, to respond to questions or requests (including customer support or technical assistance requests), to fulfill our obligations otherwise or act in accordance with our Terms of Use and License, especially our Usage Policy, to respond to law enforcement or other governmental authorities, and otherwise use the information consistent with your instructions to us (both explicit, such as when you contact us directly with a request, and implicit, such as when you hire us to provide Looplex). If you wish to change these instructions, whether by request, correcting, altering, or deleting information we may have collected about you, or opting out of certain data collection practices, please contact us at dpo@looplex.com.br.
3.2. Use of your content and anonymization. When using Looplex, you may provide us with texts, numbers, images, file attachments, and other information related to Looplex document automation aspects (“Your Content”). Looplex reserves the right to anonymize Your Content for the development of future product features. Notwithstanding anything to the contrary in this Privacy Policy, we will not use or access Your Content except in the following cases: (a) to provide Looplex services to you; (b) when we are compelled to do so in response to requests from government authorities for law enforcement, regulation, or court orders; (c) when necessary to ensure the stability and security of Looplex and our systems (for example, where we have reason to believe that specific content is degrading the stability of our servers); and, when necessary, (d) to protect the rights, privacy, security, or property of you, us, or third parties. We may also analyze metadata related to Your Content, such as the total number of records, file size, API access volume, access logs, etc.
3.3. Looplex usage feedback. You can give us feedback and evaluation on the site, System, and Templates generated on the Looplex site and System, as well as on our social media platforms and our affiliates’ websites. When you post a comment, review, contribution, suggestion for improvement, or evaluation of Looplex or the services and content provided, we call this “Feedback.” You acknowledge and agree that your Feedback may be displayed on our site, our social media platforms, and our affiliates’ websites. Your Feedback is distinct from Your Content. Your Feedback may be displayed in connection with your username and can be viewed, rated, and commented on by others. Your comments and contributions are free, voluntary, and posted at your own risk.
3.4. How we share information. We may share and disclose information we collect in the following cases:

If you request it or otherwise give your specific consent (for example, by posting Your Content or by your decision to make it public);

With vendors we hire to provide aspects of Looplex to you, such as data storage, hosting, and payment processing;

With third-party service providers who enable certain features or functionalities of Looplex that you requested;

With vendors we hire to help us gain insights and analyses about how Looplex is used and how it can be improved (for example, we may use third-party data enrichment services to combine User Information or other Personal Identification Information we collect with publicly available database information to communicate more effectively with you);

As necessary to comply with applicable law, including government requests, law enforcement requests, and otherwise to protect the rights, privacy, security, or property of you, us, or third parties;

As necessary in the event of a reorganization, merger, sale, joint venture, proposed or actual assignment, transfer, investment, financing, or other disposition of all or any part of Looplex’s business, assets, or shares; and

With third parties for any legitimate business purpose, provided the information is aggregated and anonymized.
3.5. How we protect your information. We have implemented appropriate technical and organizational measures to protect the information we collect and store. Unfortunately, no security measure is 100% foolproof, and as such, no network or system (including ours) can be guaranteed to be 100% secure against destruction, loss, alteration, unauthorized disclosure, or access to the information we collect and store. If you believe your information may not be secure for any reason, please contact us immediately at dpo@looplex.com.br.
3.6. Managing your information. You have many options for accessing the information we collect about you and how we use or disclose that information. Below, we detail many of these options, including how you can exercise the rights you may have concerning your information (including Personal Identification Information), how you can opt out of collecting and using certain types of information for specific purposes (such as marketing), and how you can use your browser or third-party tools to disable certain collection methods (such as cookies or tracking technologies).

3.6.1. Information we have about you. You can access, correct, alter, or delete User Information and/or Personal Identification Information we have about you by contacting us at dpo@looplex.com.br. If you wish to cancel your account, you can do so through your account page or by contacting us at dpo@looplex.com.br. If you do so, the Personal Identification Information associated with your account will be deleted as soon as reasonably practicable or as required by applicable law. Please note that we may retain information that would otherwise be deleted in an anonymous and aggregated form, in archived or backup copies, as required according to record retention obligations or otherwise as required by law.

3.6.2. Information collected for marketing purposes. We may use some of the information we collect for marketing purposes, including sending promotional communications about new features of Looplex. If you wish to stop receiving these communications or opt out of using your information for these purposes, follow the unsubscribe instructions by clicking on “Unsubscribe” (or similar unsubscribe language) in these communications. You can also contact us at dpo@looplex.com.br to unsubscribe.

3.6.3. How to disable cookies. If you prefer not to accept cookies or wish to disable our use of tracking technologies, most browsers and mobile devices allow you to change your settings to notify you when you receive cookies or other tracking technologies in use, and to choose whether to accept/allow them. Most browsers also enable you to disable or delete existing cookies or reject future cookies automatically. Disabling cookies may limit your ability to use Looplex.

3.6.4. Other advertising technologies. Certain tracking technologies we use are related to advertising networks, and through these technologies, we may share certain information, such as IP addresses. No Personal Identification Information is shared with these advertising networks, but note that the information we share with these advertising networks may be combined with other information about you that these networks may have collected from other sources. You can opt out of receiving communications from Looplex through links provided in email communications or by updating your account settings. If you choose to opt out of using your information for internal marketing purposes, contact us at dpo@looplex.com.br.
4. THIRD-PARTY COMPONENTS AND SERVICES
4.1. Third-party services and analytics. Looplex uses third-party technology services and analytics providers to ensure the reliable delivery of Looplex. We may add or remove third-party services and analytics providers with or without notice.
4.2. Content and data generated by third parties. Services associated with the System may display third-party content licensed by these third parties to Looplex, such as Lawtex Components, case law, doctrine notes, and System services or third-party programs or services governed by other license agreements. This content is the sole responsibility of the person or entity that makes it available. Looplex may review third-party content to determine if it is illegal or violates our Usage Policy and Privacy Policy, and may remove or refuse to display any content that it reasonably believes violates our Usage Policy, Privacy Policy, or the Law. However, this does not necessarily mean that Looplex will review the content, and you or any User should not assume or expect that Looplex will take any initiative to monitor content or audit to ensure that personal data collection is occurring directly in the execution of the Lawtex Component or Third-Party Service.
4.3. Information collection by template authors. Looplex may also offer Document Templates and BI Templates licensed by third parties, which you activate or access if you wish.

4.3.1. Disclaimer and absence of Looplex responsibility. Our services may be linked to other sites or applications by the decision of the template authors. We inform you that we are not responsible for the privacy practices of the authors of Distributed Templates on our platform, as well as other sites or applications, as they may have different privacy policies and Terms of Use and License and are not associated with us. You agree that we cannot control these Templates, sites, and/or applications and will not be responsible for any use of such Templates, sites, and/or applications.

4.3.2. Responsibility of the Distributed Template author. It is the responsibility of the Distributed Template author who wishes to offer Your Content to other System users to provide an information and consent page, as well as link their Privacy Policy whenever the use of the Template potentially involves the sharing of data or the use of personal data that requires consent. Looplex will provide the technical means for developers who author Distributed Templates to add an interface for obtaining permission or consent when distributing the Template or at a specific point in the construction of a Document, but it will not verify or audit whether the third party is complying with this unless it explicitly indicates that it has done so in a specific case, with confirmation of analysis and certification given in the System interface.
4.4. Data processing. Data processing generated using Document Templates and BI Templates may include automated and manual (human) processing methods. Automated methods are often related to and supported by manual methods. For example, automated methods include AI (artificial intelligence), which we consider as a set of technologies that enable computers to discover, understand, detect, and assist in decision-making to solve problems similarly to how people do. To compile, train, and improve the accuracy of automated processing methods (including AI), legal engineers developing or supporting Document Templates or BI Templates may manually review some of the predictions and inferences generated by automated methods in relation to the underlying data on which the predictions and inferences are based.
4.5. Links to third-party services. Looplex provides links and references to third-party websites and services. This Privacy Policy does not apply once you access and use third-party websites and services; the third-party privacy policy and Terms of Use and License apply in this case. Looplex has no responsibility for the collection or use of information or data you provide to third-party websites or services. Looplex takes no responsibility for the disclosure of personal information, data, and content to third parties. It is your responsibility to review the privacy policies and Terms of Use and License for third-party websites and services before accessing, using, or providing personal information, data, and content. The use of third-party websites, products, and services is at your own risk.
5. GENERAL PROVISIONS
5.1. Inactive accounts. Accounts that remain inactive for more than 180 days without access and/or without generating any new Document or new BI view may be considered inactive. Looplex reserves the right to delete data from inactive accounts. Looplex is not obligated to retain any user data or information beyond the retention period defined by the user or after service cancellation and/or account deactivation. Anonymous data or data not classified as personal data may be retained indefinitely even after account deactivation.
5.2. Auditing and usage metrics collection. Looplex may conduct routine audits related to the use, distribution, and licensing of the System, as well as the generation and use of Templates, Lawtex Components, Smart Actions, Third-Party Components, and Third-Party Services offered within the System’s context, to validate whether the use complies with the contracted usage licenses, their respective Subscriptions, and payments. Usage metrics will relate only to the volume and type of Documents and BI views created, completed, printed, reviewed, as well as API consumption volume, Smart Actions consumption, and Third-Party Services consumption. The results of this System usage audit may be made available in whole or in part in the System interface for authorized Users of the account.
5.3. International Data Transfer. Some or all of your data may be transferred abroad, for example, when stored by Looplex on cloud computing servers located outside Brazil. To this end, Looplex complies with all requirements established by current legislation and adopts best security practices to ensure the integrity and confidentiality of your data. Data collected by Looplex may be stored and processed in your region (if you are accessing Looplex from outside Brazil), in the United States of America, in Brazil, and in other countries/regions where Looplex, its affiliates, subsidiaries, or service providers have facilities.
- 5.3.1. Criteria for data transfer from Brazil. Looplex may transfer data from Brazilian clients to other countries for processing and storage provided that, alternatively: (a) the country is classified as having an adequate level of data protection by the ANPD (Brazilian National Data Protection Authority) or the transfer is authorized by the ANPD; or (b) in the absence of an adequate country list disclosed by the ANPD, transfers for processing may only be made to the United States of America or countries classified by the European Commission, through an Adequacy Decision, as having a level of protection adequate to the GDPR (General Data Protection Regulation of the European Union) criteria.
5.4. Sub-data processors. When we deploy subcontractors or sub-data processors (also called subprocessors) to perform tasks requiring access to your data (such as data center services and cloud data processing companies like Microsoft Azure or Amazon Web Services), they may perform only the functions Looplex hired them to provide, and they are bound by the same privacy contractual commitments that Looplex makes to you. Looplex identifies all authorized subprocessors, who have been audited against a stringent set of security and privacy requirements in advance.
5.5. Children. Looplex is not directed at children under 18 years of age. We do not intentionally collect any information or data from minors. By using Looplex, you declare that you are at least 18 years old. If we learn that we have collected Personal Identification Information from a child or minor under 18, we will take appropriate steps to delete that information from our files as soon as possible. Please contact us at dpo@looplex.com.br if you believe we have any information from or about a child under 18 years old.
5.6. Contact data for content distributors. If you are a developer or legal engineer, you agree that Looplex publicly displays the email address you provide for customer support purposes in the Store.
5.7. Privacy Policy updates. Looplex may revise the Privacy Policy from time to time. If a revision is material, as solely determined by us, we will notify you, for example, by email or upon logging into the System. The current version will always be posted on our Privacy Policy page.
