Looplex Migrate - Data Migration

You can use our data migration service to import data from other systems into your Looplex account using the Looplex Data Migration service.

What Can I Migrate?

When transitioning your organization to Looplex, you have two types of legal content migration:

  • Structured data migration, such as data already organized in other legal management systems (case management systems), CRMs, tracking spreadsheets, and other applications.
  • Unstructured data migration, such as textual content from templates of petitions, contracts, compliance and management manuals (playbooks), along with the paths and logical rules for document construction and analysis.

While unstructured data migration requires more time for mapping (Looplex Knowledge Management), structured data can be directly migrated from your legacy systems to Looplex.

Steps to Migrate Your Data to Looplex

Your migration initiative to Looplex may differ depending on the number of workloads you need to migrate, the data source (from a known market system or a unique proprietary system), the chosen migration approach (customized or standard), and the complexity of the security and compliance requirements.

Here are five basic steps to successfully migrate your data to Looplex.

Step 1: Define the Data Sources to Migrate

Due to a lack of market standardization among different technology providers, each system ends up with a different data structure and format. You can migrate data from spreadsheets, backups of relational databases from other known or mapped systems, or even from proprietary or fully customized systems in your law office or legal department.

Step 2: Decide What Type of Migration You Want

Before starting, make sure your new Looplex account is ready for the migrated data. For example, you need to define the initial users of the platform, the areas (teams) of use, register your organization’s data, and set various preferences.

Step 4: Decide Whether to Activate Smart Personalization Features

Before migrating data, decide whether Looplex’s smart features, such as BI and automation flows, can use data from your old system. To enable certain features, such as automatic request classification in Looplex Works, intelligent features and personalization must be activated in the destination account before migrating the data.

Note: This step only applies if the client is directly running our migration program. If our team is handling the process, we will simply validate the readiness with you.

Step 5: Start the Migration Process

Using the data migration service, you follow a simple, self-guided process for configuration, migration, and troubleshooting in the Admin Console (adm.looplex.com.br)1. Alternatively, you can give our team the green light to run the migration, which, after your validation, will trigger the definitive migration (a second round with updated data) on the agreed Cut-off Date.

How Much Does It Cost, and How Long Does It Take?

Based on the previous parameters, we will classify your migration into one of the options outlined in your commercial proposal:

  • Standard. Using a predefined spreadsheet structure or one of our connectors, where we have already mapped the basic structures of over a dozen legal software systems.

  • Hybrid. Extracting from databases of systems for which we already had ready connectors and migration scripts, but making adjustments and customizations with the client on specific points and elements, for example, to normalize a client database with duplicate records or to correct certain fields.

  • Custom. Starting from one or more databases with an unknown structure, we map all primary data with the client, create a data dictionary and a special “from-to” list for the project, and execute a fully customized extraction.
