Looplex Filing: friction-free e-filing with guaranteed timeliness

In corporate legal departments and law firms that face tight deadlines every day, the moment of filing is always critical. Missing the filing window—whether in courts that use PJe, e-SAJ, eproc, or proprietary systems—can jeopardize the entire litigation strategy. Looplex Filing was built to eliminate that risk: it automates every step of preparing, submitting, and certifying filings, ensuring the right document reaches the right court on time with full traceability.

What is Looplex Filing?

Looplex Filing is a module of the Looplex platform that orchestrates the electronic filing of court documents. Integrated with Brazil’s main judicial systems, it performs—either in assisted or fully automatic mode—the following tasks:

  • Pre-validation of file format (PDF/A, digital signatures, size limits) and of metadata required by the court.
  • Electronic signing with ICP-Brasil certificates stored in an HSM or token, including co-signatures when needed.
  • Submission and receipt via official APIs or, where none exist, through an AI-controlled WebDriver that securely replicates human navigation.
  • Generation of filing receipts with a SHA-256 hash, archived in Looplex’s evidence vault together with the court’s XML response.
  • Automatic synchronization with the case file in Looplex Cases and real-time notification in Looplex Monitoring.

How it works in practice

  1. Preparation — The pleading is created in Looplex Builder or imported from another editor. Filing checks that the document is PDF/A-2B, verifies signatures and metadata, and indexes the content for future search.

  2. Data enrichment — If information is missing (case class, amount in dispute, subject codes), the AI assistant suggests values based on case context.

  3. Smart routing — The rules engine identifies the correct court and e-filing system from the CNJ number or the registered jurisdiction, preventing venue errors.

  4. Filing — The module connects to the court system, uploads the file, monitors the response, and captures the receipt in real time.

  5. Logging and audit — Every step is recorded in an immutable log: precise timestamp (UTC-3), user, file hash, and status of each attempt.

Native integration with the Looplex ecosystem

As soon as the filing is completed, its metadata (receipt number, time, hash) feeds Looplex Cases and triggers routines in Looplex Monitoring to track future docket movements—no manual entry required.

Human oversight on demand

If the department prefers to supervise sensitive submissions, it can switch to Assisted mode through Looplex Copilot: the system prepares everything and waits for a single click from the responsible attorney in Looplex Builder – a common practice for high-impact filings or post-settlement documents.
